Booking Policy

🍴 Booking Policy – Tokyo Square Convention Center

At Tokyo Square Convention Center (TSCC), we aim to provide a smooth and transparent booking experience for all our valued clients. Please review the following booking policies before confirming your event:

1. Payment Terms

Advance Payment: 50% of the total venue rent must be paid at the time of booking.
Final Payment: The remaining 50% must be cleared at least 10 days before the event or program date.
Payment Method: Payments can be made through pay order, demand draft, account pay cheque, or cash in favor of Tokyo Square Convention Center.
For musical concerts or special events, 50% advance is required during booking, and the rest must be paid at least 15 days prior to the event.
VAT challan for food must be submitted to TSCC authority 4 days prior to the event.

2. Required Documents

Clients are required to submit the following at the time of booking:
Photocopy of NID/Passport/Utility Bill/Trade License/Business Card for identification.
When applicable, original documents such as:
NOC from NBR
Clearance from the Ministry of Commerce
Clearance from Cultural Affairs
Police permission for musical or public events (to be submitted 5 days before the event)

3. Food & Catering Policy

All food VAT must be provided to TSCC.
Original copies of all food or catering receipts must be shown to the accounts department to claim back any security money.
No extra charges apply if food is served in minimum two shifts. If served “At a Time,” clients must pay 50% of waiter charges (BDT 400 per waiter).

4. Event Preparation Meeting (PPM)

A Program Preparation Meeting (PPM) will be held with the operations team, caterer, and client 4 days before the event.
Requirements discussed and finalized in this meeting will be considered final — no further changes can be made afterward.

5. Damages & Responsibilities

Clients will be held responsible for any damage caused to the venue, materials, or property by themselves, their guests, or service providers.

How to Book

  • Choose your preferred hall (Camellia, Orchid, Olive, or Rosemary).
  • Pay 50% advance to confirm the booking.
  • Remaining balance must be paid at least 10 days before the event.

What’s Included in the Rent

  • Fully air-conditioned hall with backup generator
  • Podium, sound system & microphones
  • Movable stage platform
  • Green room & cleaning service
  • Parking for up to 800 cars

Mandatory cost

  • Service Charge: BDT 75/guest (tables, chairs, crockery, waiters, etc.)
  • External Lighting (Dinner): BDT 10,000
  • Optional Services:
    • LED TV (Live Telecast) → BDT 10,000
    • Extra Hour → BDT 10,000/hour
    • Corporate Setup → BDT 10,000

Security Deposit

  • Corporate/Day Events: BDT 10,000
  • Fairs & Festivals: BDT 20,000
  • (Refundable within 7 days after event)

Catering & Decoration

  • Food catering must be chosen from our enlisted catering partners (Iqbal Catering, Thandu Mia, Sajib, Mahir, Khan, etc.).
  • Decoration & event planning services available from approved vendors (Indoor Outdoor, Flower Design, Sunshine, SSJ Events, Elegant Event Solutions, etc.).

Hall Capacity & Setup (Banquet Style)

  • Camellia Hall: 600 guests (150 dining)
  • Orchid Hall: 1000+ guests (200 dining)
  • Olive Hall: 400 guests (100 dining)
